General Description and Purpose

The Office Assistant in Office of Admissions is the receptionist and point of contact for visitors, walk-in customers, prospective students, parents and staff.                                                                                             

      Primary Functions/Responsibilities

  1. Serve as receptionist and point of contact for visitors, walk-in customers, prospective students, parents, and staff as needed.
  2. Answer incoming departmental communications including, but not limited to telephone calls, admissions email listserv, and texts while taking appropriate action as needed.
  3. Entry of data pertaining to all admissions and enrollment processes, residence life and/or student records.
  4. Update and maintain student records and daily reports as directed.
  5. Assist with mailing of general information to students as requested.
  6. Clerical duties as assigned:  data entry, typing, filing, telephone correspondence, bulk mailings and daily reports.
  7. Assist with early registration sessions and special event days as directed by the Director of Admissions.
  8. Perform other duties as assigned.

  1. Excellent communication and interpersonal skills.
  2. Strong clerical skills including: keyboarding and data entry, word processing, database, spreadsheets, web-based programs, and records management.
  3. Excellent multi-tasking skills.
  4. High level of accuracy.
  5. Strong organizational skills and attention to detail.
  6. Exhibit a professional appearance and welcoming presence at all times.
  7. Work in a student-centered environment and understand and support the mission, philosophy, vision, goals and objectives of PCC and a comprehensive community college.
  8. Ability to maintain confidentiality.
  9. Must be neat, dependable, have work initiative, work amicably with others and have the ability to follow directions.
  10. Must have the ability to work with minimal supervision and exercise effective time management.

 

      Experience

  1. One year administrative support or office experience required; two years or more administrative support or office experience in a fast-paced environment preferred.
  2. Two years computer experience required.

 

      Education

  1. High school diploma or equivalent required; associates degree + preferred.

 

      Certifications and/or Licensure

            None

 

      Work Conditions/Environment

            Work is performed primarily in an office setting on the campus.
