        General Description and Purpose

The Office Assistant in Student Services is the receptionist and point of contact for visitors, walk-in customers, prospective students, parents and staff.                                                                          

        Primary Functions/Responsibilities

  1. Serve as receptionist and point of contact for visitors, walk-in customers, prospective students, parents, and staff as needed.
  2. Facilitate and process prospective student campus visit scheduling and communication.
  3. Answer incoming department telephone calls and take appropriate action as needed.
  4. Entry of data pertaining to admissions, enrollment processes, residence life and/or student records.
  5. Assist with enrollment, admissions, residence life, registration paperwork and processing as directed.
  6. Update and maintain student records and daily reports as directed.
  7. Assist with mailing of general information to students as requested.
  8. Clerical duties as assigned:  data entry, typing, filing, telephone correspondence, bulk mailings and daily reports.
  9. Assist with enrollment and registration session and special event days.
  10. Assist with functions of the Students/Enrollment Mgt. division and departments as directed.
  11. Provide optimum customer service.
  12. Process documents needed to complete student admission and enrollments.
  13. Facilitate training and support service to internal and external customers related to enrollment management and student service.
  14. Perform other duties as assigned.               

   

      Coordination and Accountability Tasks

  1. Assist college departments as needed.
  2. Assist the Admissions and Residence Life Departments as directed.
  3. Other duties as assigned.     

     

      Supervises the Following Staff

  1. Excellent communication and interpersonal skills.
  2. Strong clerical skills including: keyboarding and data entry, word processing, database, spreadsheets, web-based programs, and records management.
  3. Excellent multi-tasking skills.

  5. Strong organizational skills and attention to detail.
  6. Prioritize and display a positive attitude.
  7. Work in a student-centered environment and understand and support the mission, philosophy, vision, goals and objectives of PCC and a comprehensive community college.

  9. Willing to work evenings and/or weekends when needed.
  10. Must be neat, dependable, have work initiative, work amicably with others and have the ability to follow directions.
  11. Must have the ability to work with minimal supervision and exercise effective time management.

 

      Experience

    1. Two years office experience required.
    2. Two years computer experience required.

 

      Education

  1.     1. High school graduate preferred.
  2.      2. Associate degree in business, accounting, clerical or            related areas of study preferred.

            None

 

      Work Conditions/Environment

            Work is performed primarily in an office setting on the campus. Must be               able to walk across campus and access various types of buildings.
