Part Time

            General Description and Purpose

Perform secretarial duties for assigned full-time and adjunct faculty members.  May be called on for other instructional work as time allows.

               

        Primary Functions/Responsibilities

  1. Basic secretarial duties including the preparation of tests, syllabi, work-sheets, official correspondence and other instructional related documents for faculty.
  2. Responsible for the operation of the assigned faculty office area including:  telephone operation, reception and scheduling of persons wishing to visit with faculty, monitoring of traffic in office area, awareness of faculty office hours and whereabouts on campus, coordination of required faculty responses to official information requests.
  3. Responsible to establish working priorities so that an equitable allocation of secretary's time is available to all assigned faculty for basic secretarial duties listed above.  As time allows, secondary assistance may be provided in the form of test monitoring, classroom substitution, homework grading and other similar tasks.

                                                                   

        Coordination and Accountability Tasks

Reports to assigned department chairs with general supervision by the Administrative Assistant to the Vice President of Instruction.

 

        Supervises the Following Staff

Work-study students as assigned.

 

        Required Knowledge, Skills, Abilities, and other Characteristics

  1. Excellent skills in use of Microsoft Office 365, email, and the internet.
  2. Good telephone and personal etiquette
  3. Able to meet deadlines and work under pressure at times
  4. Organizational skills/setting priorities
  5. Flexible with working on several projects at one time
  6. Must be willing to continuously improve skills
  7. Must be able to work effectively with students, faculty, and staff

 

        Experience

  1. At least one year prior experience as an office assistant required.
  2. At least one year of prior experience providing secretarial services to multiple people is preferred.

 

        Education

  1. High school diploma or its equivalent preferred.
  2. Secretarial training preferred.

 

        Certifications and/or Licensure

                None

 

        Work Conditions/Environment

                Work is conducted in a high traffic office environment.
