Marketing Communications & College Relations Specialist

General Description and Purpose
  This position works in conjunction with the Director of Marketing Communications & College Relations in support of the planning, development, and execution of college marketing, public relations activities, event planning, and college relations.  Will have a good understanding of web design, content management, and maintenance. At the direction of the Director, will provide content and manage a broad range of digital marketing and communications efforts including internet, mobile devices, social media, search engines, and digital media. Will assist with the design, production and writing of marketing and collateral materials. Is supervised by the Director of Marketing Communications & College Relations and provides support for several areas in Student Services as needed.

 Primary Functions/Responsibilities
 Marketing Communications

  1. Assist in the planning, development, and execution of college marketing and advertising activities and campaigns.
  2. Assist in maintaining the College branding, logos, graphic images and enforces Style Guide criteria both internally and externally.
  3. Assist in creating graphic layouts and designs of advertising, marketing collateral, and other published materials in print and online. Select and arrange photos, type, illustrations, and color. Collaborates with Director, Vice President, and co-workers on concepts and campaigns.
  4. Assist in managing, and developing strategies to enhance the college’s public image. Establish relationships media representatives and monitor media coverage; identify key messages and communicate them to college partners and associates.
  5. Assist in the production of internal and external materials such as brochures, press releases, web copy, newsletters and executive presentations. Requires excellent written and verbal communication skills.
  6. Edit, proofread, fact-check, and coordinate production of a variety of marketing communications materials. Ensure that communications are accurate, clear, and complete; correct in terms of spelling, grammar, punctuation, and editorial style; and that they maintain a consistent tone and voice.
  7. Purchase and place print, radio, TV, and online advertising as needed or assigned.
  8. Coordinate and/or take photos and video related to instructional, programs, events, students, and employees as needed. Edit and produce short promotional videos as needed.
  9. Write and distribute press releases, feature stories and editorial copy regarding instructional activities, faculty, students, including honor rolls, key events, honors, trips, radio PSAs.
  10. Maintain a media contact list and coordinate department communications for promotion internally and externally as directed.
  11. Provide assistance and support for marketing initiatives associated with the Beaver Booster club, PCC Foundation and other college organizations as requested.
  12. Provide marketing assistance for key departments such as athletics, technical education, performing arts, and student life as needed.
  13. Assist in developing a comprehensive internal communications plan to enhance organizational culture and support a climate of openness and collegiality.
  14. Work with the Director to set priorities and deadlines, clearly communicate project goals and reinforce a collaborative work environment.
  15. Serve as the College contact, representative and coordinator of partnerships, consortiums as requested by the Director.
  16. Accept appointment to and participates on committees as assigned.
  17. Assist the Director in  managing the advertising and marketing budget line accounts.
  18. Assist the Director in executing a professional development/ training program to teach effective marketing strategies and best practices for program leads (academic, technical, services) as needed.
  19. Other duties as assigned by the Director, Vice President of Students/Enrollment Management and/or the President.

Digital Communications

  1. Assist in managing content and providing oversight of digital marketing and communications efforts including social media, internet, digital publishing, mobile delivery of content, search engines and the College website.
  2. Assist in managing the social media efforts of the College, including the development of social media policies and the management of all postings. Create, maintain and implement digital marketing calendars as directed.
  3. Assist in managing updates, design, and user experience on the College’s website and social media accounts, monitor daily messaging and posts as directed.
  4. Assist in developing and analyzing key metrics of marketing effectiveness and costs related to digital programs. Conduct and report analysis of site and social traffic as directed.
  5. Assist in managing and ensuring proper online messaging is relevant and monitors official College online/digital communications for accurate and consistent compliance with the standards of the Colleges’ Style Guide.
  6. Assist in designing and implementing social media strategy to align and advance the College mission, institutional aims, and goals.
  7. Assist in developing concepts for online communication, such as websites, Web portals, and e-newsletters; and online advertising methods, such as banner ads, pop-ups, and paid search-engine placements. Assist in troubleshooting the site, including content, links, and other elements, making corrections as needed or in consult with the Director.
  8. Assist in developing concepts and implementing online communication to students, parents, school officials, such as websites, Web portals, and e-newsletters; and online advertising methods, such as banner ads, pop-ups, and paid search-engine placements.
  9. Assist in monitoring web traffic metrics and Search Engine Optimization (SEO) as directed.
  10. Assist in creating landing pages and other conversion opportunities.

 College Relations

  1. Assist in planning, scheduling, and coordinating special events including holiday, community open house, dedications, workshops, businesses on campus fair, etc. as directed.  Oversee event timelines, ordering, and logistics.
  2. Assist in establishing  a campus environment, which is unique, and student focused and incorporates services, communication campaigns, and visual strategies for events, programs and projects.
  3. 3. Assist in establishing a series of community events/activities that engage employees and students with the community and provide networking opportunity.
  4. Assist in providing meaningful opportunities for students to volunteer their time and energy in response to voiced community needs. To assure that the community service of students is beneficial and effective for both student volunteers and the community.  Serve as sponsor for key service organization as needed.
  5. Assist with key campus events and activities as requested. Assist with hosting campus tours for recruiting and/or other special events as needed.
  6. Maintain knowledge of current industry practices to make recommendations as related to information design and how to improve/grow the College’s online and digital presence.
  7. Accept appointment to and participate in committees as assigned.
  8. Participate in college events including: Beaver Building Days, college fairs, job fairs and other public events as requested.

Student Services

  1. Coordinate and serve as the point person for the annual new student information session(s) for incoming students.
  2. Assist with admissions duties related to new student recruitment, campus tours, and communication to prospects and/or special recruiting events as needed.
  3. Assist with student advising, testing administration and/or enrollment processing as needed.
  4. Assist with communication to enrolled students through social media, direct mail, email and/or personal contact as needed.
  5. Assist with campus events related to admissions, enrollment, and college relations as needed.
  6. Assist with promoting student life initiatives including student activities, intramurals and special events as needed.

 Coordination and Accountability Tasks

  1. Assist College employees and students in executing marketing and promotional initiatives as directed.
  2. Schedule production printing and artwork requests for publication as requested.
  3. Assist in coordination of campus special events.
  4. Work with local and regional media in presenting pertinent information regarding the college as directed.
  5. Serve on teams and committees and work with student leaders and clubs/organization to establish awareness of diversity through events and initiatives as directed.

 Supervises the Following Staff
  Student Assistants as needed.

 Required Knowledge, Skills, Abilities, and other Characteristics

  1. Possess working knowledge of all digital marketing – internet, mobile devices, social media, search engines and digital media.
  2. Ability to analyze data to determine effectiveness of social media campaigns.
  3. Proficient with using multi-social posting programs such as Hootsuite, email marketing software such as Mailchimp.
  4. Proficient with developing social media strategies, creating and managing content, creating actionable plans.
  5. Knowledge of media editing software (photo and video).
  6. Knowledge of Google Analytics and other analytical tools.
  7. Ability to sustain communication with diverse groups, anticipate problems, reconcile conflicts and maintain a strong philosophical base for student activities.
  8. Working knowledge of all media---print, visual and audio.
  9. Ability to prepare materials for all media, including the ability to utilize desktop publishing technology, including Adobe InDesign, Microsoft Publisher, Adobe Illustrator.
  10. Effectively work with various public and diverse populations. 
  11. Digital photography skills and related technology.
  12. Understanding of the mission and philosophy of community colleges.
  13. Popular style writing skills necessary.
  14. Demonstrate good written and verbal communication skills.
  15. Possess skills necessary to creatively design publication and promotional materials.
  16. Must be a self-starter and have the ability to work with little direct supervision.
  17. Ability to continuously evaluate and improve the institution’s public relations and communications program.

  1. Two years’ work experience in communications, marketing, design, public relations, or comparable area required.
  2. Two years’ experience and skills in web design, web content maintenance and online program development required. Experience with Google analytics and Drupal preferred.
  3. Two years experience as a social media manager required.
  4. One year experience in desktop publishing required.
  5. Experience in working in higher education preferred.
  6. Civic engagement service and experience preferred.
  7. One year experience in coordinating programs special event planning preferred.
  8. Portfolio review of designs, marketing plans/campaigns, photographs, business communications, web designs, required with interview.
  9. Will have a good understanding of web design and maintenance, with the ability to navigate web pages comfortably.

Bachelor degree in communications, marketing, public relations, advertising, journalism, or a related
field required. 

 Certifications and/or Licensure

 Work Conditions/Environment
Work is performed in an office setting on campus and/or remotely. Must be able to travel independently and work in off-site locations. Requires ability to work flexible hours and be able to deal with stressful conditions in a calm and professional manner. Light lifting up to 40 pounds may be necessary on an occasional basis. Must be able to walk across campus and access various types of buildings.

This position allows the employee the option of remote location work; employee is not required to work on the Pratt campus during the full workweek.  While working remotely, must be available during regular business hours to respond in a timely manner to inquiries,
