Pratt Community College summer hours begin Monday, May 20 and will extend through Friday, July 26. Operating business hours will be  7:45 a.m. to 5:15 p.m. Monday through Thursday, and 8:00 a.m. to 1:00 p.m. on Friday.

PCC is closed Saturdays and Sundays.

Nursing Department Secretary

General Description and Purpose
Full-time secretary for the Dean of Nursing, Director of Nursing and Nursing Department.  Responsible for various office duties required for the smooth operation of the nursing department and work in conjunction with the Nursing Faculty Secretary.    
     
Primary Functions/Responsibilities
As directed by the Director of Nursing, the secretary shall have the following functional
responsibilities:

  • Process all office correspondence.
  • Perform receptionist duties.
  • Follow office procedures for processing purchase orders, travel requests, budget information as directed.
  • Communicate office information to and coordinate department activities with dean and/or director.
  • Ensure accurate information on nursing programs and costs for website.
  • Maintain accurate and current files for the department, including data required for assessment and outcome criteria, student records, student activity of grades; and faculty files – including health and legal requirements.
  • Provide clerical support, including filing, scheduling meetings and appointments, messaging and copying.
  • Serve as recording secretary for meetings, distributing minutes to director within two business days following meeting, and placing approved minutes in book.
  • Assist the department with recruiting and marketing efforts.
  • Maintain strict confidentiality of all records.
  • Schedule and plan advisory board meetings in cooperation with director.
  • Compile data for Kansas State Board of Nursing and Accreditation Commission for Education in Nursing annual reports and Systematic Evaluation Program.
  • Process contracts with all clinical agencies annually.
  • Enter classes into Power Campus.
  • Perform other various office duties as directed.     

Coordination and Accountability Tasks

  • Consult with admissions, registrar, other nursing faculty/staff, Financial Aid, business office and other institutional support staff.

Supervises the Following Staff

  • Work-study students as assigned

Required Knowledge, Skills, Abilities, and other Characteristics

  • Ability to type 40 wpm with accuracy; proficient in the use of Word and Excel, knowledge of spelling, punctuation, grammar, and vocabulary; excellent communication skills; excellent organizational skills required.
  • Knowledge of medical terminology preferred.

Experience

  • Previous secretarial experience is required.  Experience may be deferred for individual having formal secretarial training at a college or private business school.
  • Previous experience as secretary in educational or health care facility preferred.

Education

  • High school diploma or equivalent required.
  • Clerical or business related Associate degree or higher preferred.
