1. Upon receipt from the Board of Regents of a request for Pell Grant certification, the Assistant Dean for Technical Instruction will begin that process. The Assistant Dean will request, from the Data Coordinator, a listing of students by vocational major as reported for the appropriate year with the CaTERS data. Each major listing need only include the students' name and SSN. These major lists may be utilized to determine fall and spring figures.

2. The Assistant Dean shall request, from the Data Coordinator, a listing of students enrolled during the appropriate summer term who declared an approved vocational major. The Assistant Dean shall then verify the names with the appropriate program coordinator.

3. The Assistant Dean shall copy the major lists for the Data Coordinator. The Data Coordinator will utilize the lists to divide the student names based on the following categories. The lists will then be returned to the Assistant Dean.

Fall semester 6-8 credit hours
Fall semester 9-11 credit hours
Fall semester 12 or more credit hours

Spring semester 6-8 credit hours
Spring semester 9-11 credit hours
Spring semester 12 or more credit hours

Summer semester 6-8 credit hours
Summer semester 9-11 credit hours
Summer semester 12 or more credit hours

4. The Assistant Dean will then forward the listings to the Financial Aid Director for identification of Pell recipients.

5. The Assistant Dean will tally the headcount and complete the Pell Count Certificate form.

6. The Assistant Dean shall bring the following personnel together for final review of the data.

Assistant Dean of Technical Education
Data Coordinator
Financial Aid Director

Upon group approval, the Assistant Dean shall submit the data to the Board of Regents and notify the Vice President for Instruction.
